How we use your information
Calderdale Council is registered with the information Commissioners Office (ICO) under the provisions of the Data Protection Act 2018. The Council takes its responsibilities under the Act very seriously.
The information provided by you is collected purely for the purposes of providing you with a resolution to the issue you have asked us to address on your behalf ('casework') or acting on a request to perform a statutory function ('help request', for example, to chase bin collections or repair a street light). We need to collect this information in order to process your request or represent you as requested to a 3rd Party. Sharing your information with us constitutes consent from you for us to process your data for this purpose. We will share this data only with:
- statutory bodies;
- elected representative;
- and public sector bodies;
- or where you have asked us to contact a specific 3rd party (not covered by the above list, for example, a company you are having difficulties with), where relevant in resolving your request or undertaking casework.
Your information will be used and shared for this sole purpose and will not be shared with or sold to commercial entities, unrelated 3rd parties or other entities outside the scope of your request.

Your name, contact details and eligibility are recorded manually on our electronic system to maintain up to date records. This information will be kept until one of these criteria apply:
- We have completed your request.
- We are unable to complete your request. We will contact you with reasons for this.
- You request that we no longer pursue your request.
In all three cases, we will provide you with all the information we hold on you and securely delete our recorded data on you. You should keep this data for your records and provide us with it if you would like us to revisit your request or look at a new request that relates to it.
You also have the right to:
- See what information is held about you.
- Have inaccurate information corrected.
- Have information removed from our system. Unless we are required by law or a statutory purpose to keep it.
- Complain to the Data Protection Officer if you feel your data has not been handled in line with the law. We will not share your information without your consent.

Councillors act as data controllers in their own right. As such, any complaints about their handling of data should be sent to the individual Councillor.
