How we use your information
Mayoral Engagement request form Calderdale Metropolitan Borough Council of Town Hall, Crossley Street, Halifax, HX1 1UJ is registered with the Information Commissioners Office (ICO) under the provision of the Data Protection Act 2018. The Council takes its responsibilities as Data Controller under the Data Protection Act and UK GDPR very seriously.
This privacy notice explains how your personal information will be processed if you choose to make a request for the Mayoralty to attend an event.
The type of information we will collect
The following personal information will be collected directly from you on completion of the request form or contacting the Mayor’s Office:
- Your name
- Email address
- Telephone number
- Company/organisation name (if applicable).
Why we collect and hold this information
- To deal with your Mayoral engagement request and make any necessary arrangements with you
- To contact you regarding civic events to which the Mayor might wish to offer you an invitation if you have consented to this.
Sharing your personal data
Your personal information will be used by the Mayoral office and shared only with the Mayor/Deputy Mayor and the Mayor’s Driver as necessary. It will not be shared with any external organisations. We will never share your information with third parties without your consent unless the law allows us to do so.
The lawful basis for the processing your data
- Article 6(1)(a) - your consent to process the information for the purposes stated.
- Article 6(1)(e) - for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller
Retaining your personal information
We will retain your details for a maximum of 18 months after the date of your event, at which point your personal data will be securely destroyed.
Your rights
The GDPR provides the following rights for individuals. Not all rights are absolute and therefore will only apply in certain circumstances:

- The right of access
- The right to rectification
- The right to erasure
- The right to restrict processing
- The right to data portability
- The right to object
- Rights in relation to automated decision making and profiling.
